Reception and Financial Services Administrator

Reporting directly to the Board Treasurer and working to support the Finance Committee, the successful candidate will be a vital member of the team in maintaining the financial records of the museum. This is an exciting position as it also includes reception duties as the first point of contact for the public, sponsors, partners, member volunteers and vendors.

The Reception and Finance Services Administrator will work closely with the Board Executive, Operations Manager and Collections/Programming Manager, plus Manitoba Threshermen’s Reunion and Stampede (MTRS) committee through a broad range of financial and office administration functions.

Primary Duties and Responsibilities – Financial Services:
• Manage & maintain the financial records of the organization for all phases of the accounting cycle: accounts receivable/payable, general journal entries through to trial balance.
• Prepare monthly financial reports for the Treasurer and Board of Directors (Profit and Loss, Balance Sheet, etc.)
• Prepare bank deposits, by-weekly payroll, payables, billing, invoicing, and receivables.
• Complete month end reconciliations of bank accounts, petty cash & corporate credit card.
• Provide financial data to staff for grant applications and reporting.
• Assist in preparation and entry of the museum and MTRS annual budgets and fundraising activities.
• Collaborate with the Treasurer to assist in preparing financial information for the auditor.
• Attend and record the minutes of the monthly Finance Committee meetings and attend the AGM.

Primary Duties and Responsibilities – Reception:
• First point of contact for the public, sponsors, partners, member volunteers and vendors.
• Greet clients and visitors, answer/forward phone calls, and respond to museum emails.

Required Qualifications:
• Post-secondary education and/or a combination of training and experience in the field of bookkeeping.
• Strong knowledge of accounting principles.
• Proficient with QuickBooks Online, Microsoft Office, and Cloud Databases.
• Ability to organize, multi-task, prioritize, and work under pressure in a fast-paced environment.
• Strong attention to detail while managing a large workload.
• Outstanding customer service skills and a desire to assist others.

Conditions of Employment
• The Reception and Finance Services Administrator position is part time, with alternating 3 days/week and 4 days/week, resulting in 24 hours/week and 32 hours/week of employment.
• Must hold a class 5 licence and attend work at the Manitoba Agricultural Museum office in Austin, MB.
• Flexibility to work overtime during peak visitor season (July to September), the week of the Manitoba Threshermen’s Reunion & Stampede (July), and audit preparation (January).
• Flexibility to work evenings for committee meetings.
