Job Description:

Record and prepare minutes of meetings, seminars and conferences

Determine and establish office procedures and routines

Schedule and confirm appointments

Answer telephone and relay telephone calls and messages

Answer electronic enquiries

Order office supplies and maintain inventory

Arrange travel, related itineraries and make reservations

Greet people and direct them to contacts or service areas

Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information

Set up and maintain manual and computerized information filing systems

Type and proofread correspondence, forms and other documents: Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy

Contact providers and coordinate payments

Update and manage clients' database

Assist with accounts payable and accounts receivable, including simple bookkeeping and banking tasks

Record billing information and prepare invoices or estimates

Prepare presentations for clients

May supervise office and volunteer staff

May arrange and co-ordinate seminars, conferences, etc.

May compile data, statistics and other information

Requirements:

Education: Completion of high school is required.

Completion of a one- or two-year college or other program for administrative assistants or secretaries or previous clerical experience is required.

Experience: A minimum of 2 years of work experience in office administration including maintenance of inventory, proofreading and preparation of statements and reports is required.

Working Conditions and Physical Capabilities: Ability to work independently, Tight deadlines, Attention to detail, Work with minimal supervision

Computer and technology knowledge: Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, Accounting Software, MS Office, Electronic Mail, Spreadsheet

Personal suitability: Ability to multitask, Excellent oral and written communication, Organized, Accurate, Client focus, Time management

Language: English is required.

Salary: $26.90 hourly, 37.5 hours per week.

Important Information: The regular work schedule will be from Monday to Friday, from 9 am to 5 pm, including one paid 30-minute lunch break and two unpaid 15-minute coffee breaks.
